Your booking
Who these terms apply to
These terms apply to event design, styling, production, rentals and related services booked with Events by ArchPrint in Malaysia. Events by ArchPrint is operated by Rima Venture Group Sdn Bhd, Company Registration No. 201701024132 (1238298-W). “We”, “us” and “our” refer to Rima Venture Group Sdn Bhd. “You” means the client named in the booking, including an authorised representative booking for a company or organisation.
Your booking comprises the accepted quotation, agreed event brief, these terms supplied before acceptance, and any later changes agreed in writing. The quotation must identify the contracting business and its registration details. A quotation’s expressly agreed, event-specific provisions take priority over general wording here, subject always to applicable law and your statutory rights.
You must be at least 18 and authorised to make the booking. Please nominate one main contact who can consolidate instructions, approve artwork and coordinate decisions for the event.
Enquiries, quotations & confirmation
An enquiry, proposal, site visit or availability discussion does not by itself reserve a date. Your booking is confirmed when we have accepted the scope in writing, you have accepted the quotation and terms, any agreed booking payment has been received, and we have issued written booking confirmation.
The quotation will state its validity period and any temporary date hold. Please check the event date, venue, service times, access arrangements, inclusions and exclusions before accepting. Email or WhatsApp approvals count as written instructions when their meaning and the authorised sender are clear.
These terms do not create a booking merely because you browse our website. We will make the applicable terms available before you commit and confirm any material differences from the published information.
Prices, payments & changes to scope
Prices are in Malaysian Ringgit (RM). “From” prices are starting prices; the final cost depends on the approved concept, dimensions, quantities, location, service duration and venue requirements. Your quotation will state the total payable, any applicable taxes, delivery or other charges, payment stages and due dates. We will explain and obtain agreement to additional charges before undertaking the additional work.
Booking payments and balance payments follow your accepted quotation. No standard deposit percentage, late-payment interest or blanket non-refundable payment rule is created by this page. Pay only to the verified account or payment method shown on our official invoice; check any proposed change of bank details with our established contact.
If payment is overdue, we will contact you and allow a reasonable opportunity to resolve it before suspending affected work or cancelling. Where an event deadline is close, we will explain the resulting production or availability risk. Cancellation accounting remains subject to the cancellation section below.
Changes to dates, guest numbers, artwork, dimensions or service time may require a revised quotation and schedule. We will not make a material substitution or increase an accepted price without your agreement, except where a change is required by law and its treatment is lawful and explained.
The launch package
Launch offer & eligible dates
Usual starting price From RM5,800
Launching promotional price From RM4,800
- Booking deadline: 15 October 2026, inclusive.
- Latest eligible event date: 31 January 2027, inclusive.
These dates refer to Malaysian local time and apply to the launch starting package on our pricing page. To qualify, the booking must be confirmed under the confirmation requirements above by the booking deadline, with an eligible event date and available production capacity.
RM4,800 is a starting price for the agreed package scope. Larger or more complex requirements may cost more. Add-ons, upgrades and separate promotional offers are not automatically included or combined. Their eligibility and pricing must be stated in your quotation.
If you request a new date outside the offer period, we will confirm the applicable price and any rescheduling costs before you agree. Later website price changes do not retrospectively change an already confirmed booking.
What the starting package includes
The final layout and quantities will be recorded in your quotation and approved design. The starting package provides:
- 3D thematic backdrop: 10–20 ft wide, based on venue suitability and the agreed scope.
- Backdrop decoration: two balloon garlands, one on each side, or floral backdrop decoration.
- Backdrop spotlights: 9–18 units, allocated according to the backdrop dimensions.
- Custom printed Floor Platform: 10–20 ft long × 6–10 ft wide, with its construction, height and finish agreed in the quotation.
- Thematic standees: a suitable quantity proportioned to the agreed backdrop dimensions.
- Custom printed event plinth / Cake Stand: two units.
- Custom-printed welcome display: a welcome board on a wooden easel with a mini balloon garland or floral decoration.
The package price also covers styling, planning and design; two design and artwork amendment rounds; workmanship and transportation within Klang Valley; the agreed balloon or floral decoration; and installation and dismantling.
Published size and quantity ranges do not mean every booking receives all maximum dimensions or quantities at the starting price. Confirm the exact sizes, structural finish, decoration choice and spotlight allocation before payment. Floral type, including fresh or artificial flowers, will be specified in the quote.
Outstation transportation is additional and quoted in advance. Venue charges, access-related extras, catering, furniture, entertainment, photography, additional entrances and other add-ons are included only if expressly listed. Portfolio photographs may show a larger event with separately priced services.
Design & production
Artwork, revisions & final approval
The starting package includes two amendment rounds within the agreed concept. Each round is one consolidated set of changes to the submitted design. A new theme, major structural redesign or changes after final approval may involve additional time and charges, which we will quote before proceeding. Correcting our own errors does not use your paid amendment entitlement.
Please check names, ages, dates, wording, logos, spelling, dimensions and layout on the final proof. We will request written approval before production. If you later change approved information, the cost of necessary redesign, reprinting or refabrication will be agreed with you. We remain responsible for producing the approved work with reasonable care and skill.
Artwork deadlines will be agreed for your event. Delayed content or approvals may affect delivery options; we will notify you promptly and discuss a revised plan. Screen colours, printed materials and natural flowers may vary slightly, but substantial differences from the approved design require your agreement.
Venue access & event coordination
Please provide accurate venue information, including measurements, ceiling height, loading routes, lifts or stairs, parking, approved setup and dismantling windows, power, water, weather exposure and restrictions on fixtures or decorations. Any venue inspection or technical assessment required will be arranged with you.
We will agree who obtains venue consent and any necessary permits or approvals. Each party remains responsible for approvals legally required of it. Venue deposits, loading fees, access surcharges, overtime and outstation charges must be identified and agreed where applicable; ordinary transport already included in the Klang Valley package will not be charged twice.
We may decline an unsafe installation or a setup that breaches venue restrictions. We will explain the problem and discuss a safe alternative, its cost and its impact on scope before proceeding. A refusal to undertake unsafe work does not remove our responsibility for work already promised or for problems caused by us.
Installation, safety & dismantling
Our team will coordinate installation and removal within the agreed windows and use appropriate care, equipment and installation methods. Please keep access routes and working areas clear, and arrange for your event contact to be available for handover.
Decorative backdrops, standees, lettering, plinths and photobooth structures must not be climbed, moved, overloaded or used as play equipment. Keep balloons, loose small parts, cables, heat sources and open flames away from unsupervised children and guests. Any load-bearing use of a platform must be expressly designed and approved for that purpose.
Report damage, instability, electrical concerns or other hazards immediately and stop using the affected item. Guests should follow on-site safety instructions. We remain responsible for the safety and workmanship duties applicable to our services; these precautions do not transfer all responsibility to the client.
Venue delays or requests to extend the event may require extra crew time or another collection trip. Any additional fee and revised collection arrangement must be agreed, with reasonable steps taken to limit avoidable cost.
Rentals, ownership & damage
Your quotation will identify rented items and anything you purchase to keep. Custom printing or personalisation alone does not transfer ownership of a rented frame, plinth, easel, furniture item or other structure. Purchased items and their handover arrangements will be identified separately.
Rented items must be available for collection in the agreed location and condition, allowing for ordinary wear and tear. You are responsible for loss or damage attributable to misuse, negligence or a breach of agreed care obligations by you or people under your control. You are not responsible for pre-existing defects, ordinary wear or damage caused by us.
Any claim will be explained with an itemised assessment and supporting evidence. Repair or replacement charges must be reasonable, taking condition and age into account, with no double recovery. If a refundable security deposit is required, its amount, permitted deductions, inspection process and refund timing will be agreed before booking.
Add-on services
Food catering & table styling
Menus may feature Malay, Middle Eastern, Indian or Western cuisine, plus agreed small bites, macarons, mini cakes and desserts. The quotation will confirm menu choices, portions, guest count, serving arrangements, table styling, furniture, service staff and any minimum order. These elements are not all automatically included merely because a catering option is selected.
We will agree a deadline for final guest numbers and dietary information. Changes after that deadline depend on availability and any additional committed cost, which must be explained. A reduction in guest numbers does not automatically reduce costs already reasonably incurred.
Please disclose allergies, dietary restrictions and relevant ingredient requirements before confirmation. We will discuss what the appointed caterer can safely provide and any cross-contact limitations. Cuisine labels do not themselves confirm halal certification; request and confirm any certification or dietary assurance you require before booking.
Food providers must meet applicable food-handling and hygiene requirements. We will coordinate safe service arrangements, including holding temperatures, water and waste disposal as relevant. Leftovers, takeaway containers and any handover must follow the agreed food-safety arrangements.
Live snacks & dessert stations
Kunafa, popcorn, chocolate fountains, ice cream and other snack or dessert stations are separate selections unless combined in an expressly itemised package. The quotation will state the station design, menu, portions or guest limit, service duration, staffing, equipment and utility requirements.
“Unlimited” service applies only to the specified item during the agreed serving window and for the event attendance agreed in the quotation. It does not extend service hours or include other menu items. Any replenishment arrangements or practical serving limits must be disclosed before booking.
A themed snacks bar is not automatically a booking of every station shown in our photographs. Only the food, service and styling listed in your quotation are included. Fountain ingredients, fruit, marshmallows, allergens and serving supervision will be confirmed for your event.
Activities, inflatables & live entertainment
Face painting or a crafts workshop: RM650 for 3 hours, up to 20 participants. The combined bundle is RM1,150; its staffing, timetable and participant allocation will be confirmed in writing. The bundle does not automatically mean double the hours or participant capacity.
Inflatable bouncy castle: RM950 per day, with an additional RM200 for the water service when selected and suitable for the site. The quotation will specify delivery, operating and collection times; a day rental does not automatically include overnight use. Water access, drainage and the venue’s permission must be confirmed.
Carnival and arcade games, live performances, MCs, magicians and other bespoke entertainment require a custom quotation. An inflatable bubble house or other equipment is included only when specifically listed.
Age, height, capacity and operating restrictions must be followed. The quotation will state any attendants supplied and the supervision expected from the client. Parents or responsible adults must remain available for children; an activity booking is not a childcare service. Operators retain their own safety duties, including suitable anchoring, equipment checks and decisions to stop in unsafe weather.
Face painting depends on consent, suitability and skin condition. Tell the provider about relevant sensitivities and do not proceed where irritation, infection or another contraindication makes the activity unsuitable. Craft materials and tools will be selected and supervised according to the agreed age group.
Grand entrances & custom structures
Grand entrances, journey walkways, large letters and numbers, directional signs and other fabricated elements are quoted by design, dimensions, quantity and installation conditions. The approved quotation identifies the number of arches, stars, hexagons, characters or signs supplied.
A printed walkway surface is different from a raised structural platform. Any raised platform, load-bearing requirement, weather protection or additional lighting must be expressly specified. Personal-use offers for letters or numbers do not automatically apply to commercial or brand installations, which require the appropriate quotation.
Installation depends on safe anchoring, clear access, venue approval and suitable ground or flooring. We will agree any alternative layout required by site conditions before materially changing the design.
Custom-designed photobooth boxes
The photobooth box service provides the agreed themed structure, artwork, interior setting and decorative finishing. Dimensions, installation arrangements and any rental or purchase element will be set out in the quotation.
A photographer, camera system, attendant, instant printing, digital gallery or unlimited photo copies is not included unless expressly stated. Please confirm these services separately if required. Use the structure within its stated capacity and do not climb or move its decorative elements.
Photography & drone coverage
Your quotation will confirm coverage hours, crew, event locations, edited deliverables, formats, delivery timeline and usage rights. Raw files, extensive retouching, extra coverage, prints and long-term storage are included only if agreed. We will confirm any download or file-retention period and use reasonable care in handling the agreed coverage and files.
Drone work is subject to applicable aviation approvals, airspace and venue restrictions, suitable weather and the authorised operator’s safety assessment. Booking drone coverage does not guarantee that a flight will be lawful or safe on the day. The operator must not fly where required approvals or safe conditions are absent.
We will discuss constraints in advance where reasonably foreseeable. If a planned flight cannot proceed, we will agree any suitable alternative coverage, rescheduling or appropriate adjustment for undelivered services, taking account of lawful, disclosed costs already incurred. No client instruction overrides the operator’s safety or legal duties.
Please identify priority moments and photography restrictions before the event. We will make reasonable efforts to capture agreed coverage, while recognising that individual moments depend on access, timing and guest cooperation. Publicity permission is addressed separately below.
Changes & protection
Availability, suppliers & substitutions
We may coordinate specialist caterers, entertainers, photographers and other suppliers. Where their services are part of our booking, appointing a supplier does not remove our contractual responsibilities to you.
Material changes to an agreed performer, menu, structure, finish or service must be explained and agreed. If an agreed item becomes unavailable, we will offer a suitable alternative or an appropriate remedy for the affected service; you do not have to accept a materially different substitute.
For suppliers you book directly, please share relevant schedules and technical requirements. Their separate contracts govern their services, while we remain responsible for any coordination work we expressly agree to provide.
Rescheduling your event
Please request a date change in writing as soon as possible. A replacement date depends on venue, crew and supplier availability and must be confirmed by both parties. Until a change is agreed, the original booking remains in place unless cancelled under the cancellation process.
We will explain work already completed, committed costs that cannot reasonably be recovered, any price difference and any reusable items or payments that can be credited. We will take reasonable steps to reduce avoidable cost and will not charge twice for the same work.
Any rescheduling charge, credit, use-by date or revised payment schedule must be expressly agreed; there is no automatic rescheduling fee or credit-expiry period under these general terms. If no suitable new date is agreed and you cancel, the cancellation provisions apply.
Cancellations & refunds
Cancellation requests must be sent to our contact email or WhatsApp in writing. We will acknowledge the request and provide a breakdown of the booking’s status and any proposed deductions.
Any cancellation schedule must be clearly disclosed and agreed before booking and remain fair and lawful. Where no specific schedule was agreed, cancellation accounting will take into account work reasonably completed, approved custom items already produced and reasonable supplier commitments that cannot be recovered, less savings, recovered amounts and reusable value where appropriate.
We will take reasonable steps to limit avoidable loss. Payments will not automatically be forfeited in full simply because they were called a deposit. We will explain the calculation, provide reasonable supporting detail and refund any balance due without unreasonable delay, confirming the payment method and expected timing with you.
If we cancel or cannot supply an agreed service for reasons attributable to us, we will promptly notify you and offer the remedies required by the contract and applicable law, including a refund where due. You are not required to accept a replacement service or credit in place of a refund to which you are legally entitled. This section does not limit your rights for faulty or deficient services.
Weather & events beyond reasonable control
Severe weather, lawful restrictions, venue closure or another event genuinely beyond reasonable control may prevent part or all of an event. The affected party must notify the other promptly, explain the impact and take reasonable steps to reduce disruption.
Outdoor events should have an agreed weather plan, including any indoor alternative, shelter or stopping conditions. Ordinary foreseeable weather, poor planning or an avoidable supplier problem does not automatically excuse performance.
We will discuss safe alternatives, rescheduling and the financial treatment of affected services. Any deduction for completed work or unavoidable commitments must be reasonable, explained and lawful, with unused sums refunded where due. This provision does not create a blanket right to retain all payments or remove either party’s statutory rights.
Design rights, themes & portfolio images
Please supply only logos, photographs, wording and other materials you are authorised to use, and explain any brand restrictions. We are likewise responsible for the rights and permissions required for materials we supply. A themed event or reference image does not by itself imply an official partnership or endorsement by a brand or character owner.
Ownership or licensing of original design files, reusable concepts and commissioned artwork will be specified where relevant in the quotation. Buying an event setup does not automatically include editable source files, exclusive design rights or permission for commercial reproduction. Any rights expressly agreed with you remain protected.
Portfolio photographs, renderings and illustrative concepts communicate style and possibilities. They may show optional extras or an arrangement designed for another venue. Your approved design and quotation determine the agreed deliverable; we remain responsible for accurate descriptions and promises made during booking.
Personal information & photo consent
We use the information you provide to respond to enquiries, plan and fulfil your event, arrange payment and handle related support. Relevant information may be shared with appointed suppliers only as needed for those purposes or as otherwise lawfully permitted. We will take reasonable security measures and retain information only for legitimate operational or legal needs.
We will provide the applicable privacy notice when collecting personal information. Please share only information needed for the event and ensure you are authorised to provide information about other people. Dietary health information and other sensitive information require appropriate handling and consent where applicable.
Booking does not automatically give permission to use identifiable guest photographs or videos in our marketing. Publicity use requires a separate, appropriate permission process. A parent or legal guardian must provide any required permission for identifiable children. Permission from the event organiser does not replace consent required from other individuals.
You may decline publicity without affecting the booked service, or contact us about withdrawing permission for future use. Requests concerning access, correction, consent or other applicable personal-data rights can be sent to info@archprintevents.my. This section is a service summary, not a substitute for a complete privacy notice.
Concerns, responsibility & consumer rights
If something is wrong, tell our on-site lead or contact us as soon as reasonably possible so we can investigate and, where practicable, put it right during the event. Include your booking reference, a description and any useful photographs. Prompt reporting helps us resolve issues but does not impose an artificial deadline that removes your legal rights.
We will perform our services with reasonable care and skill. Each party remains responsible for loss it is legally liable for, taking account of causation, reasonable mitigation and applicable law. These terms do not exclude liability that cannot lawfully be excluded, including applicable duties concerning personal injury, negligence, fraud or statutory consumer remedies.
Malaysian law governs the booking. We encourage good-faith discussion first, while preserving access to Malaysian courts, the Tribunal for Consumer Claims Malaysia where it has jurisdiction, and any other remedy available under applicable law. No provision requires you to give up mandatory consumer protections.
Agreed terms & future updates
The version supplied and accepted for your booking applies to that booking. Future website edits do not retrospectively change it. Any later variation must be agreed in writing and must comply with applicable law.
If a provision is unenforceable, it will be treated only to the extent necessary under applicable law without removing the remaining lawful provisions. Nothing here overrides a non-excludable right, a lawful express promise or an obligation imposed by law.
